We have Copilot or Claude, but adoption is low. How do we get employees to use it?

To increase adoption of Microsoft 365 Copilot or Claude, help employees apply the tool to specific tasks they already perform. Providing access is a starting point; people also need relevant examples, practical skills and confidence about what they are allowed to do.

Start by understanding what is holding people back. Employees may struggle to identify useful tasks, get inconsistent results, lack time to experiment or feel unsure about using company information.

A practical adoption approach combines:

  • Role-specific use cases. Select recurring tasks within each team, such as preparing project updates, comparing documents or drafting customer responses.
  • Hands-on training. Let employees practise with realistic work, learn how to provide context and check the quality of AI-generated output.
  • Follow-up coaching. Help people improve their approach when their first attempts produce disappointing results.
  • Clear guidance. Explain which tools and data are approved, what requires human review and where employees can ask for help.
  • Internal champions. Give motivated colleagues time and support to share useful examples with their teams.

Measure progress through repeat use and practical outcomes, including quality, time saved and reduced rework. Login numbers alone do not show whether AI is helping.

RoboRana helps organisations connect AI training with everyday work through use-case discovery, practical coaching and adoption programmes tailored to their teams.
