How do we identify valuable AI use cases within our departments?

Identify valuable AI use cases by examining where employees spend time, encounter delays or repeatedly interpret information. Start with the work and the desired improvement, then assess whether AI is an appropriate solution.

Workshops with people who perform the tasks should explore concrete examples: documents they review, requests they handle, information they search for and decisions they prepare. Involve process owners and IT to understand dependencies and constraints.

Assess each opportunity against four criteria:

  • Business value. Could the solution reduce effort, improve quality, shorten turnaround times or increase capacity? Record the current situation so results can be compared later.
  • Feasibility. Is the required information accessible, and can the solution work with existing systems?
  • Risk. What happens if the output is wrong? Consider sensitive data, customer impact and the need for human review.
  • Ownership and adoption. Who will use the solution, maintain it and take responsibility for the process?

For example, a finance team may benefit from preparing explanations for invoice discrepancies, while a service team may need help finding answers across internal documents. These are different use cases with different requirements.

Some opportunities can be addressed with Copilot or Claude. Others need a workflow, an AI agent or a dedicated application. Some are better solved through process simplification or conventional automation.

RoboRana helps teams turn these findings into a prioritised backlog, with a clear next step for each selected use case.
