The process works in four steps. Classify: determine the document type (invoice, credit memo, purchase order). Extract: pull out the relevant fields using OCR and AI-powered layout analysis, even when formats vary across suppliers. Validate: check extracted data against your systems (does this PO number exist? is the amount reasonable?). Route: validated documents go to your ERP or next step; exceptions go to human review.
UiPath Document Intelligence (IXP) and Azure Document Intelligence are the platforms we use for this. Both provide pre-built models for common documents and allow training custom models on your specific formats.
Accuracy requirements drive the approach. For financial transactions requiring 99.5 percent accuracy, we set higher confidence thresholds and route more cases to human verification. For initial triage where 95 percent is acceptable, we automate more broadly.
The result: documents that used to require manual processing at high cost are now largely handled automatically. Humans focus on exceptions rather than routine data entry.
