The Intelligent Process Automation (IPA) journey often starts in a similar way for many companies. For instance, someone within the organization discovers Robotics Process Automation (RPA) and starts experimenting with it. This was also the case for our customer Onafhankelijk Ziekenfonds (OZ). They created a proof of concept and quickly showed the value of the technology. From one employee, they expanded to an ever-growing Automation team using the UiPath technology as an enabler for their automation journey. For almost 3 years, OZ never requested external consulting advice and overcame most of the classic RPA challenges, such as infrastructure setup, finding the right process candidates, development struggles, and scope creep. As of today, the automation team consists of six team members that make a true center of excellence throughout the organization. More than 70 processes are currently running in production. However, with an upcoming merger, and fast expansion of the number of cases and processes to be automated shortly, OZ contacted RoboRana to perform a 10-day detailed health check of the risks in OZ’s automated solution. OZ wanted an objective view of the quality and performance of their solution, governance, coding best practices, and automation team.
The health check (or audit) started with a high-level interview, so we could better understand OZ’s organization and the automation team. Knowing their challenges and goals, subsequent meetings were organized around RoboRana’s proven health check framework to discover the details. Our framework consists out of five pillars: governance, operations, functional, technical, and program management. Each of the pillars in our framework discussed the relevant stakeholders in further detail. The health check was performed on-site and as safely as possible to keep close contact with the team. A thorough code review of 8 selected processes was performed, and we compared them to RoboRana’s best practices. Our best practices were gathered from our employees’ combined experience with varying clients throughout the last 3 years. In addition, we investigated the documentation of these sample processes.
A detailed report was presented to the stakeholders at the end of the process. Thanks to the accessible team at OZ, we had plenty of observations and actionable recommendations to mitigate the risks. Our recommendations were accompanied by a timeline, along with risk indicators and effort estimations. This enabled the OZ team to start planning and keep Intelligent Process Automation a success story in the coming years. While some recommendations implicated drastic changes, they were welcomed just as much as the quick fixes. Detailed annexes loaded with knowledge were provided to help OZ boost its automation journey. We wish the team well in their upcoming intelligent automation endeavors!
