A Power Apps application was created to streamline an RPA process that helps the automation of the vendor creation process in SAP.
The vendor creation process was being handled by an RPA (BluePrism) bot. However, failed runs, due to bad input data provided by the vendors, needed to be handled in a more user-friendly way.
In addition, the business wanted to have a clear overview of all the cases processed by the bot without having to open the control room of BluePrism.
A multidisciplinary team from Roboest and Caudata implemented an elegant solution to track the data of the annually hundreds of new suppliers and subsequently add them via RPA in SAP via +15 different SAP transactions. The vendor data is collected through various channels: Power App, Microsoft Forms (for external vendors), and/or SharePoint. Before an RPA robot (Blue Prism) adds this data in SAP, it is manually validated by an Agristo employee in the VendorCreation Power App. Unsuccessful cases (not being processed in SAP) are sent back to the Vendor Creation Power App where an employee can modify missing or incorrect information enabling the human in the loop. Additionally, vendors and staff receive updates in (shared) mailboxes via Power Automate workflows.
Ultimately, RoboRana helped the company deploy a Blue Prism digital workforce to support its staff and meet post-Brexit compliance standards. Today, the virtual workforce helps manage an automatic document flow that eliminates the need to print documentation and avoids the risk of trucks leaving their base without the necessary documentation. With a digital workforce, not only was Agristo able to comply with the new regulations on time, one of their trucks was the first to drive into the UK post-Brexit. Put in numbers, the digital workers ensure that Agristo can properly complete customs declaration forms for 1,000 trucks every month.
